Policies and Procedures
1. Code of Conduct
Students: All students are expected to show respect to their peers, staff, and the academy’s property. This includes being punctual, engaging positively in class, and following instructions.
Staff: Staff members must model professionalism, fairness, and encouragement while maintaining an inclusive and supportive environment.
Zero Tolerance for Bullying or Discrimination: Any form of bullying, harassment, or discriminatory behavior will not be tolerated.
2. Equal Opportunities and Anti-Discrimination Policy
Sapphire Theatre Academy is committed to providing equal opportunities for all students and staff. Discrimination based on age, race, gender, religion, disability, or sexual orientation is strictly prohibited. We actively encourage diversity and inclusivity, fostering an environment where everyone feels safe and respected.
3. Health and Safety Policy
Facility Safety: Students must follow all health and safety rules while in class or using the facilities at Community Hamilton Hall.
First Aid: First aid kits are available in the hall and on-site during performances. All staff are trained in basic first aid.
Emergency Procedures: In case of an emergency (e.g., fire, medical), students will be directed to designated evacuation points.
Physical Safety: As theatre classes may involve physical activity, students are expected to participate at their own comfort level, and instructors will ensure exercises are safe and appropriate.
4. Safeguarding and Child Protection Policy
At Sapphire Theatre Academy, the safety and well-being of all students are our top priority. We follow all local safeguarding laws and best practices to protect students from harm, including physical, emotional, and sexual abuse.
Staff: All staff undergo background checks and are trained in safeguarding procedures.
Designated Safeguarding Officer: We have a designated safeguarding officer available to respond to any concerns or issues.
Reporting Concerns: If there are concerns about a student's safety or well-being, they should be reported immediately to the safeguarding officer. The academy takes these concerns seriously and will act promptly and appropriately.
5. Attendance and Punctuality Policy
Expectation of Regular Attendance: Students are expected to attend all classes and rehearsals. If a student is unable to attend, parents must inform the instructor in advance.
Consequences of Unexcused Absences: Repeated unexcused absences may affect the student’s participation in the end-of-term showcase or production.
Punctuality: Students should arrive on time for classes, rehearsals, and performances. Lateness disrupts the learning process and may affect the student's performance in the class.
6. Social Media and Online Conduct Policy
Positive Representation: Students and staff must uphold a positive image of the academy on social media and online platforms. Negative comments or inappropriate posts may lead to disciplinary action.
Director Consent: All posts or videos featuring students in classes, rehearsals, or performances must have prior consent from the academy's director before being shared publicly.
7. Disciplinary Policy
Violation of Policies: Any breach of academy policies, including misconduct, bullying, or disrespectful behavior, will result in a review and possible disciplinary action. This may range from a warning to temporary suspension, depending on the severity.
Resolution Process: Parents and students will be informed of any issues, and the academy will aim to resolve matters through open communication and guidance.
8. Grievance and Complaints Policy
Raising Concerns: If students or parents have concerns, they should approach the Academy Director or designated staff member in writing. The matter will be investigated, and appropriate action will be taken.
Resolution Process: Complaints will be handled confidentially and impartially, and we aim to resolve issues swiftly, ensuring the ongoing well-being of all involved.
9. Harassment and Bullying Prevention Policy
Sapphire Theatre Academy has a zero-tolerance policy toward harassment or bullying of any kind, whether physical, verbal, or online. Any reported incidents will be thoroughly investigated, and disciplinary action will be taken if necessary.
10. Intellectual Property and Copyright Policy
Original Works: Students are expected to create and perform original content in devised performances. Any use of existing work must be properly credited.
Use of Copyrighted Materials: The academy will ensure that all copyrighted materials (scripts, music, etc.) used in productions are properly licensed or permitted for use.
11. Performance Process
No Auditions: There are no auditions at Sapphire Theatre Academy. All students are encouraged to participate in class and contribute to the overall performance process.
Roles in Productions: Each student is given an opportunity to take part in class performances and end-of-term showcases, based on their development in the class, collaboration, and commitment.
Performance Expectations: Students are expected to remain professional and dedicated during rehearsals and performances. This includes working as a team, adhering to the schedule, and maintaining a positive attitude.
12. Physical and Mental Well-being Policy
Wellness Support: Sapphire Theatre Academy is committed to the mental and physical health of its students. We encourage open discussions about stress management, mental health, and wellness.
Physical Care: Students are encouraged to speak with their instructor if they feel physically strained or uncomfortable during activities.
13. Parental Involvement and Communication Policy
Communication: Parents will receive regular updates on their child’s progress via email or meetings. Any important information related to class schedules, performances, or events will be communicated promptly.
Involvement: Parents are encouraged to attend performances and participate in relevant activities but should refrain from interfering with class or rehearsal time.
14. Refunds and Cancellations Policy
No Refunds for Missed Classes: Term fees are non-refundable, regardless of class attendance.
Cancellation of Classes: If classes are canceled by the academy (e.g., due to an instructor's illness), make-up classes will be arranged.
Make-up Lessons for Illness: Students who miss classes due to illness are eligible for one make-up lesson per term. If not used in the current term, it will roll over to the following term for one additional opportunity.
Long-Term Illness or Injury: For extended or severe illness or injury, accommodations will be reviewed on a case-by-case basis. The academy may offer online materials, partial refunds, or term fee roll-overs, depending on the circumstances.
15. Use of Facilities and Equipment Policy
Respect for Facilities: Students are expected to treat the Community Hamilton Hall and any external venues with respect. Any damage to property will be billed to the responsible party.
Equipment Use: Equipment and props provided by the academy must be used safely and returned in good condition.
16. Food and Drink Policy
No Eating in Class: Students are not permitted to eat during class unless otherwise specified.
Drinks: Water is permitted, but other drinks should be consumed outside of class time.
17. Transportation Policy
External Performances: If performances are held in venues outside of Community Hamilton Hall, parents or guardians are responsible for arranging transportation. The academy will not provide transport.
18. Uniform and Dress Code Policy
Dress Code: Students are required to wear plain black long tights or knee-length shorts and a plain black shirt for class. Costumes for performances will be provided by the academy.
Footwear: Appropriate, non-slip shoes should be worn for physical activities and rehearsals.
19. Emergency Procedures Policy
Evacuation Procedures: In the event of an emergency, students must follow the instructions of their instructor and immediately evacuate to the designated safe area.
First Aid: A trained first-aider will be on site for each class and performance. Students with medical needs (e.g., allergies, asthma) must inform the instructor before attending.
20. Volunteer Guidelines
Sapphire Theatre Academy encourages parental and community involvement through volunteering opportunities.
Volunteer Requirements: All volunteers working with children must have a valid Working with Children Check (Blue Card) or an equivalent Exemption Card as required by local regulations.
Application Process: Volunteers must complete a registration form and provide evidence of their Working with Children Check or Exemption Card. This will be verified before they are allowed to participate in any activities involving children.
Supervision: Volunteers are expected to work under the supervision of academy staff and must adhere to the academy’s policies and code of conduct at all times.
Volunteer Roles: Volunteers may assist with administrative tasks, class support, events, or performances. Specific duties will be communicated based on the academy’s needs and volunteer interests.
Confidentiality: Volunteers are expected to maintain confidentiality regarding student information and any sensitive matters discussed during their involvement with the academy.
